As stated in the KIN24x7 newsletter, each current KIN24x7 provider library will be asked to fill out a Memorandum of Understanding (MoU) in an effort to provide more formal structure to our statewide online reference service. This "formalization" process for KIN24x7 providers has been discussed for some time and has even been suggested independently by directors. To alleviate any concerns, this is not, repeat not, intended as any kind of binding contract. The Statewide Coordinator will be happy to work with libraries if changes need to be made to MoUs or if unforeseen circumstances arise. The MoUs are simply a way for local libraries to confirm their existing participation and for KIN24x7 to have verification of each library's current commitment and contact information on record.
Additionally, this will also provide each library with a document that puts an "official stamp" on their commitment to KIN24x7 which can be shared with local Boards, demonstrating a dedication to collaboration and innovation. Furthermore, as new providers come online with us, each will now be able to see what the basic principles of KIN24x7 collaboration entail as well as to have a formal mechanism for joining our club.
Detailed instructions:
- The front page of the document outlines what the MoU is intended to do, the basic principles of collaboration, and a brief background of the KIN24x7 project.
- The back page is the form which can be filled out and faxed to the attention of the Statewide Coordinator at 216.623.7120.
- The top section of the back page is basic information including:
- library
- KIN24x7 accounts (login usernames),
- If libraries have more than one account, they may include them all on one form (if they all monitor the same queues). If different accounts monitor different queues, libraries are welcome to fill out a separate form for each account.
- name of the local KIN24x7 representative
- contact information
- The next section provides information on the library's current (or proposed in the case of new providers) schedule of KIN24x7 coverage for the accounts named in the top section.
- There are three sections: live service, email service, and IM service. Please fill out all that apply.
- More information on the IM service is available here. Since the IM service is being offered as a "local" service primarily and is going through the pilot phase, no shift information is needed on the MoU.
- There is a place for any notes that the library feels necessary to explain or further describe the information entered on the form or their participation in KIN24x7.
- Both the signature of an administrator as well as the local KIN24x7 representative should be added to the form.
- The definition of an "administrator" is up to the discretion of the local library. This can be (but is not limited to) a Head of Reference, Department Head, Branch Manager, or Director. The purpose of this is to allow administrators as well as frontline KIN24x7 agents the opportunity to stay informed of KIN24x7 activity at their library.
- Email addresses of local KIN24x7 representatives entered on the form will automatically be entered in the KIN24x7 e-mail list (if they are not already). If administrator(s) would like to be included on the mailing list, feel free to enter additional email(s) in the Notes.
- Finally, current providers are asked to complete an MoU and fax a copy of the completed form to 216.623.7120 to the attention of Don Boozer.
